Lead Routing
Lead routing is the automated process of distributing incoming leads to the appropriate sales rep based on predefined rules like territory, skill, availability, or round-robin assignment.
What Is Lead Routing?
Lead routing (also called lead assignment or lead distribution) is the system that automatically sends each incoming lead to the right sales rep. Rather than a manager manually reviewing and assigning leads — a process that introduces delays — routing rules instantly match leads to reps based on criteria like geography, industry, deal size, product interest, language, or simple round-robin rotation.
Why Lead Routing Matters
Speed to lead is one of the strongest predictors of conversion. Studies show that contacting a lead within the first five minutes increases qualification rates dramatically compared to waiting even 30 minutes. Automated routing eliminates the delay between lead capture and first contact.
Beyond speed, routing ensures fair distribution, prevents cherry-picking, matches leads with the most qualified rep, and reduces conflict within the sales team.
Common Routing Methods
- Round-robin — Leads are distributed equally across all reps in rotation.
- Territory-based — Leads are assigned by geographic region, industry vertical, or account size.
- Skill-based — Leads are routed to reps with relevant expertise (product knowledge, language, industry experience).
- Weighted — Senior reps or top performers receive a higher share of leads.
- Availability-based — Leads go to reps who are currently online or have the lightest workload.
- AI/ML-based — Machine learning models predict the best rep for each lead based on historical win patterns.
Best Practices
- Define SLA response times for assigned leads and escalate automatically if the SLA is breached.
- Combine routing methods — for example, territory first, then round-robin within the territory.
- Include a fallback rule for leads that don't match any criteria so no lead goes unassigned.
- Track assignment-to-first-contact time as a key performance metric.
- Review routing rules quarterly as your team structure, territories, and product lines evolve.
